Pipeline Stages
A lead's status is simply which of the seven stages it sits in. Here's what each one means and when to move a lead into it.
The seven stages#
| Stage | Meaning | Move here when… |
|---|---|---|
| New | Fresh lead, no action taken yet. | A lead first arrives. |
| Contacted | Initial contact has been made. | You've reached out (call, message, email). |
| Unreachable | Unable to reach the lead. | Repeated attempts go unanswered. |
| Interested | The lead has shown interest. | They've engaged and want to know more. |
| Won | Deal successfully closed. | They've committed / paid. |
| Closed | Deal is complete. | Delivery/onboarding is done. |
| Lost | The lead did not convert. | They chose not to proceed. |
Won vs. Closed. Use Won the moment a deal is committed, and Closedonce it's fully delivered. If your business doesn't need that distinction, just use Won — both count as successful conversions in your reports.
Changing a stage#
There are two ways to move a lead between stages:
- Drag its card on the Pipeline Board to a new column.
- Edit the status directly from the lead profile.
Either way, the change is reflected instantly across the dashboard, reports and every view of that lead.
How stages power your numbers#
Your conversion rate is won leads over total leads. Your Leads by Status donut shows the spread across these stages, and a pile-up in any one stage is an early warning of where your process is getting stuck.
