Turning it on#

Connect a channel

Set up WhatsApp first. WhatsApp requires the first message to be a Meta-approved template.

Set your intro template

Enter the approved template name (e.g. engagement_intro_v1) and its language. This is the message sent the instant a lead is created.

Enable lead engagement

Flip the toggle on. From now on, every new lead is greeted automatically and the AI takes the conversation from there.
The intro must be an approved template. Meta only allows businesses to start a WhatsApp conversation with a pre-approved template. Create and get your intro template approved in your WhatsApp Business Manager before enabling engagement.

The conversation playbook#

Once a lead replies to the intro, the 24-hour free-form window opens and the AI works through your playbook. Each message has a sensible default, and you can override the copy:

  • Qualifying questions — e.g. which class/stream, or which service they want.
  • Fees / info reply — what they asked about, plus a note that a counsellor will call.
  • Demo / booking — a link or prompt to book a slot.
  • Follow-ups — gentle nudges at 24 hours, 3 days and 7 days if they go quiet.
  • Opt-out acknowledgement — a polite confirmation when someone asks to stop.

Handover rules#

Automation is about handing the right conversations to humans at the right moment:

Hot keywords#

When a lead's reply contains any keyword you've listed (e.g. price demo call me), the bot pauses and pages a counsellor.

Minimum intent score#

The AI scores how ready-to-buy a lead seems. Set a threshold (say 60) and any lead above it is automatically handed off — to the lead's assigned counsellor, or a specific team member you choose.

Quiet hours#

Set a start and end hour (in your timezone) during which outbound messages are held back — so the bot never pings a lead at midnight.

Start conservative. Begin with a short playbook and a low handover threshold so humans see most conversations, then loosen it as you trust the agents. Fill out your Knowledge Basefirst — it's what makes the qualifying replies accurate.
